Entry Requirements

Candidates should –
(a) have a bachelor degree from a Hong Kong university, or equivalent; and
(b) have met the language proficiency requirements of
(i) Level 3 or above in Chinese Language and English Language in the Hong Kong Diploma of Secondary Education Examination, or equivalent; or
(ii) Level 3 or above in Chinese Language and English Language in the Hong Kong Certificate of Education Examination (HKCEE), or equivalent (for the purpose of appointment of non-civil service contract staff, ‘Grade C’ in Chinese Language and English Language (Syllabus B) in the HKCEE before 2007 is accepted administratively as comparable to ‘Level 3’ in Chinese Language and English Language in the 2007 HKCEE and henceforth); and
(c) possess excellent command of spoken and written English and Chinese; and
(d) have good communication and interpersonal skills, be able to work in interface with a wide spectrum of non-governmental organisations, community organisations and the public; and
(e) have high proficiency in MS Office, including both Chinese and English word processing and Excel; and
(f) have at least one year of post-qualification experience in administrative / project management; and
(g) preference will be given to candidates with experience in the management of works / engineering / architectural / cultural or arts projects, and/or management of contractors, and/or project design and planning, and/or operational management; and/or possess knowledge and experience in public administration / non-profit making organisations (NPOs) / district affairs and/or qualification in accounting / legal studies.
Remarks
(1) The candidate appointed is required to work in Kwun Tong District Office.
(2) May be required to work at irregular hours and on public holidays.
 

Duties

To provide administrative and executive support including:
(a) assisting in processing payment claims, liaising with relevant government departments or non-governmental organisations, compiling statistics, etc;
(b) assisting in monitoring progress of district projects including vetting regular financial and progress reports;
(c) providing secretarial and logistical support to committees and meetings;
(d) providing administrative support to matters in relation to application processing and office administration;
(e) maintaining and managing the relevant documents including information on the website for the district projects;
(f) attending to enquiries and queries from the public and other organisations;
(g) assisting in the coordination, overseeing and review of the district project(s), including preparing relevant submissions;
(h) assisting in the coordination and organisation of publicity and public relations activities concerning the district projects; and
(i) undertaking any other duties as required.

Terms of Appointment

The successful candidate will be appointed on non-civil service contract terms for a period of one year. Renewal of contract will be subject to the service need of the Home Affairs Department and the candidate’s performance.

Salary and Fringe Benefits

HK$ 26,000 per month
Rest days, statutory holidays (or substitute holidays), annual leave, paternity / maternity leave and sickness allowance, where appropriate, will be granted on terms not less favourable than those provided for under the Employment Ordinance. A gratuity will be granted upon satisfactory completion of the contract with consistently high standard of performance and conduct. The amount of gratuity payable will be the sum which, when added to the Government’s contribution to a Mandatory Provident Fund (MPF) scheme as required by the MPF Schemes Ordinance (Cap. 485), equals 15% of the total basic salary drawn during the contract period.

General Notes

(a) Candidates must be permanent residents of the Hong Kong Special Administrative Region at the time of appointment unless specified otherwise.

(g) Holders of academic qualifications other than those obtained from Hong Kong institutions/Hong Kong Examinations and Assessment Authority may also apply but their qualifications will be subject to assessments on equivalence with the required entry qualifications. Applications must be made on the form G.F. 340 (Rev. 3/2013), copies of which are obtainable from any Home Affairs Enquiry Centres of District Offices, Home Affairs Department or any Job Centres of the Employment Services Division, Labour Department. The form can also be downloaded from the Civil Service Bureau’s website (http://www.csb.gov.hk). The completed application form, together with a detailed resume and a copy of each of the relevant academic certificates, documentary proof of professional achievements and/or reference letters should reach the enquiry address below not later than 6 p.m. of the closing date for applications. Please specify on the envelope “Application for the post of Executive Assistant”. For application sent by mail, the postmark date on the envelope will be regarded as the date of application.
